What's included?

How much does it cost?
Bookkeeping starts at $500 per month. Your fixed monthly price depends on your volume, and we confirm it during the assessment before you commit.
Do I have to switch accounting systems?
Yes. Every bookkeeping client runs on Caytava. We migrate you for free, and Caytava costs the same as or less than QuickBooks, Xero, etc. Keeping every client on one platform is how we deliver fast, accurate books at this price.
What is Caytava?
An AI-native accounting platform built by our sister company (same founders, separate legal entity). Cayto does the work. Caytava is the software, and you subscribe to it directly.
Is AI doing my accounting?
AI handles the mechanical work: capturing and coding transactions, matching and reconciling, and flagging anything unusual. It never posts to your books on its own. A Cayto accountant reviews and approves every entry.
Who does the work, and who do I talk to?
A Cayto bookkeeping team handles your books, with one named contact for day-to-day questions. A U.S.-based Cayto principal is accountable for your account. Over 70% of our professionals have Big 4 experience, and all pass reference, employer and background checks.
My books are behind. Can you catch them up?
Yes, it's common. Cleanup is billed at your normal monthly rate for each month we bring current, with no separate project fee. We'll tell you how far back the work goes and how long it will take during the assessment.
How long does it take to get started?
Most clients are fully up and running within a few weeks. Books that need a lot of catch-up take longer, and we'll give you a realistic timeline up front.
How do I pay, and am I locked in?
You get a monthly invoice from Cayto Group LLC, a U.S. company, and we provide a W-9. The initial term is three months, then month to month. If you're not satisfied in the first 14 days, you can cancel at no charge. Your financial data and work product always stay yours.
How are Cayto Group resources priced?
We staff clients with full-time resources at 65%+ less than hiring someone locally in the United States. The cost varies by position, but our quoted costs are fully burdened. We do not bill extra for overtime, and clients are not required to provide benefits.
How do I pay the resource?
Clients receive a monthly invoice from Cayto Group LLC, which is a US-based limited liability company. Cayto Group provides a W-9 and invoices clients monthly based on a fixed monthly rate for each resource. The resources staffed to clients are compensated directly by Cayto Group and its affiliates.
What if I am unhappy with the resource that is staffed?
Cayto Group offers a 14-day guarantee for all resources that are staffed to clients. If a client is unsatisfied with a resource, it can cancel the contract for the resource within the first 14 days and not be charged for the resource.
What level of accounting resources does Cayto Group staff?
Cayto Group supplies clients with exclusive full-time accounting resources in senior, staff, and specialist (including accounts receivable and accounts payable) roles. Certain clients have promoted our senior accountants to accounting managers, but we don't seek to staff those positions initially.
What happens if a client promotes a Cayto Group resource?
Cayto Group will seek to back-fill the promoted resource, and the new resource staffed by Cayto Group can be trained, in part, by the promoted client resource.
What is the time zone difference between CG resources and the USA?
Our professionals are between 10 to 14 hours ahead of the USA depending on the client's time zone and whether daylight savings is in effect. Cayto Group staff adjust working hours to have 4 to 5 hours of overlap during the initial onboarding and training process, and understand they will be required to take calls in the evenings to join team meetings and speak with supervisors in the United States on an ongoing basis.
How do I communicate with Cayto Group resources and what IT security measures are in place?
We work with your company's IT department to provide Cayto Group resources with communication accounts (Slack, Skype, Teams, etc.) used by your other team members. Our resources adopt your company's IT protocols the same as if they were hired directly by your company. If your company does not have IT protocols that specifically address all of the needs of the situation, Cayto Group offers solutions at no additional cost, such as a secure file-sharing portal with multi-factor authentication and password management solutions.
Which service line is right for my company?
If you have a Controller, VP of Finance, or CFO leading accounting and you need more capacity, staffing is the fit. You get a dedicated professional who works under your direction. If nobody is leading accounting and you want the books handled entirely, Bookkeeping is the fit. If you are not sure, tell us on a call and we will give you a straight answer, including when the answer is neither.
